Privacy Policy

This Policy covers the Genzai marketing website, its demonstration tools and requests for a callback. It explains what we collect, why we use it and how to contact us about your information. A separate agreement or notice may apply to software we later provide to a client.
1. Our identity and privacy contact
Azamat Smailov is responsible for privacy for this sole proprietorship. We handle information in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies.

2. Information we collect
- Callback details: the name and telephone number you enter, and the message you optionally choose to provide. You can request a callback without writing a message.
- Consent and request records: your affirmative checkbox choice authorizing automated dialing and AI-generated or artificial voice calls, the specific telephone number, the consent and electronic-signature notices and their version, request identifier, source page, browser-recorded consent time and the notification’s server-generated date.
- Related communication: information you choose to share during a follow-up and any notes needed to handle the inquiry.
- Public business research: company names, business websites, locations, public contact-form links and information about products or services may be recorded in our private CRM to assess whether our services could be relevant. Where we use an individual’s published business contact details, we use them only to communicate about their business role. Public availability does not itself establish permission for marketing messages or automated calls.
- Technical information: hosting providers may process IP addresses, request times, browser/device information and error or security logs. The form also uses a short-lived counter derived from a network address to reduce repeated submissions. We do not include IP addresses in callback notification emails.
Do not include sensitive personal information or someone else’s information without authority. The form is intended for business inquiries from adults and is not directed to children.
3. Why we use it and your choice
We use this information to respond to your request, discuss your project and Genzai’s software services, arrange related follow-up, protect the form from abuse and keep a record of your consent choices. The unchecked callback checkbox explicitly asks for permission to use automated dialing and an AI-generated or other artificial voice at the number you provide. Selecting it and submitting the form is your electronic signature. Changing your name or number clears the choice.
Your consent is for Genzai to respond to this inquiry; it is not a condition of purchase. You may contact us by email instead. If an AI voice agent calls, it will identify itself at the start. It will need to process your live voice to understand and respond during the conversation.
Submitting the form does not add you to a newsletter or authorize unrelated marketing, third-party advertising, text campaigns, audio recording or saved transcripts. Live AI processing is different from keeping a recording. We will explain any proposed recording or additional use and obtain any separate permission required before it begins.
You can withdraw consent or ask us to stop contacting you at any time by telling the caller to stop or emailing aza@genzaicore.com. Withdrawal applies to future use; we may keep a minimal suppression record to honour your choice or meet a legal requirement. Older human-only callback requests are not permission for AI calls.
4. Providers and processing outside Canada
For the hosted website, we use Vercel for hosting and server-side form processing, Resend to deliver inquiry notifications, and Google/Gmail to receive and manage those internal notifications. Hostinger handles incoming business correspondence addressed to aza@genzaicore.com. The name, phone number, optional message and consent record are included in callback notifications sent to our internal Gmail mailbox. We use Notion as a private CRM for inquiry details, consent records, brief follow-up notes and next actions. We may also store these records in our private operations system to manage requested follow-up. The form does not create a customer account.
AI calling is not currently connected to this website. Before enabling it, we will identify the telephone and AI voice providers in this Policy and explain their processing and retention. We will obtain additional consent if the proposed use requires it. Submitting this form records a request and permission; it does not automatically start a call or send live audio to a voice provider.
These providers may process or store information outside Canada, including in the United States. Information processed abroad may be accessible to courts, law enforcement or other authorities under local law. We remain responsible for our handling of information and for selecting and managing providers for these purposes.
We do not sell your personal information or share it for third-party advertising. We may disclose information where required by law or reasonably necessary to protect legal rights, security or people from harm.
5. Demonstrations, cookies and local copies
The demonstration tools calculate and display configurations in your browser. They do not send configuration or sample contact data to Genzai. If you download a file, copy a summary or open an email draft, the resulting information is handled by your device and any application you choose to use.
We have not added advertising trackers, analytics cookies or marketing cookies to this site. The callback form does not store your name, phone or message in browser storage. Hosting and security services may still process technical information necessary to deliver and protect the website.
6. Retention and safeguards
We keep inquiry information only as long as needed to respond to and manage the request, then delete or anonymize information that is no longer needed, subject to applicable legal requirements. An active project, dispute or request to stop contact may require a limited record for longer. Provider logs and backups may follow separate retention and deletion cycles.
We limit access to people and providers who need the information for these purposes. The hosted form uses an encrypted HTTPS connection, validates submissions and sends email through a server-side integration. No online system can guarantee absolute security.
7. Access, correction and complaints
You can ask what personal information we hold about you, request access or correction, withdraw callback consent, or request deletion by contacting our privacy contact above. We may need reasonable information to verify that the request comes from you. Some access or deletion requests may be subject to legal exceptions, which we will explain where permitted.
Where PIPEDA applies, we normally respond to access requests within 30 days, subject to permitted extensions and exceptions. Contact us first with a privacy concern so we can investigate. You may also contact the Office of the Privacy Commissioner of Canada.
8. Updates
We will post an updated version and effective date when this Policy changes. Where required, we will provide additional notice or obtain new consent before using information for a new purpose. A later policy update does not automatically broaden your callback permission.
